Hill Walkers Home Pvt. Ltd. – Where the adventure meets the heart of the Himalayas! We are happy to consider ourselves for your experience in trekking or campaign. Before entering wild trails with us, we would like to ask you to carefully read the following terms and conditions.

When looking for our site, booking a walk, or using any of our services, you accept and agree to the conditions below. These words form the basis of our mutual agreement and protect both your interests.

1. Agreement Overview

When you reach our site or sign up for any adventure, you accept and agree to these terms and conditions. Sometimes these conditions can be updated, and when our services are continued, you agree to follow the latest version. If you do not agree with any part of these conditions, we ask you to avoid using our website or reserved services.

2. Bookings & Payment Process

2.1 Making a Booking

When you decide to join the trek or campaign with Hill Walker Home Pvt. Ltd., we require some necessary information to process your booking – this includes your full legal name, contact details, current health status, emergency contact, and any specific requirements. You should also confirm that you are physically fit and eligible to participate in the selected trek or campaign.

2.2 Payment Details

To secure your location on our journey, you have to pay a deposit or the full amount (based on the package). Payments can be done safely using credit cards, bank transfers, or our listed payment platforms. Once the payment is processed, we will send you an official confirmation email with your booking details.

2.3 Cancellation Policy

We understand that plans change. If you need to cancel, please notify us as early as possible. Our cancellation policy is as follows:

• More than 30 days before departure – Full refund minus a small administrative fee.
• 15–30 days before departure – 50% of your total cost is refundable.
• Less than 15 days before departure – No refund.

2.4 Booking Amendments

If you want to change your booking (such as changing the date or hiking vacation spot), please contact us. We will do our fine to meet your request, even though adjustments rely upon availability and might include additional charges.

3. Health & Fitness Requirements

Your protection is our top priority. Depending on the trek, you may need to meet specific physical and fitness criteria. If you’ve got any chronic illnesses, a recent surgical operation, or unique requirements, please tell us earlier.

For the demand for a trek, a doctor’s withdrawal may be required. Failing to meet fitness or medical criteria can lead to cancellation without refund, so please be honest and upcoming during the booking process.

4. Responsibility & Liability

4.1 Trekking Risks

Walking and trekking take risks in high altitude areas or remote risks, injuries, height diseases or even individual items. By entering our walk, you accept these risks and agree that you are participating voluntarily.

4.2 Waiver of Liability

By joining our campaigns, you waive any legal claim against Hill Walkers Home Pvt. Ltd., our guide, staff, and partners for any loss, injury, or event that can occur during the journey, including travel, housing, or external activities.

4.3 Travel Insurance Requirement

We strongly advise all trekkers to buy a comprehensive travel insurance policy. Your insurance should cover cancellation, medical expenditure, accidents, withdrawal, and loss of goods. Hill Walker Home Pvt. Ltd. does not cover these costs and will not be responsible for related losses.

5. Conduct During the Trek

Our guides are your lifeline during the journey. Listening to their instructions is not only about the following rules – it is about staying safe and taking maximum advantage of your experience.

5.1 Respect for Nature and Culture

We promote eco-friendly and culturally respectful trekking. Trekkers are expected to:

• Dispose of waste responsibly
• Avoid damaging flora, fauna, or local property
• Dress and behave modestly in villages and sacred areas
• Follow Leave No Trace principles

Violation of these guidelines can result in immediate expulsion from the trek without any reimbursement.

5.2 Prohibited Behavior

Drug intake – including illegal drugs or excessive alcohol use – is strictly forbidden during the trek. Being engaged in such behavior can result in being removed from the group without refund or further services.

6. Cancellations or Itinerary Changes by Us

Although we try our best to stick to the planned program, some unexpected situations may force us to modify or cancel a trek.

These can include:

• Natural disasters (eg, landslides, floods, earthquakes)
• Sudden weather changes
• Political unrest or travel restrictions
• Health emergency or transport issues

In such cases, we can reconstruct your trek, provide an alternative package, or provide refunds. However, we will not be responsible for costs outside our services (such as flights or third-party booking).

7. Privacy Protection

Your privacy matters to us. All personal information collected during the booking process – such as medical data, contact information, or payment details – is preserved under our privacy policy. We use this information only for booking, coordination, and safety purposes, and we never sell or misuse your data.

8. Intellectual Property Rights

All the content displayed on our website – including our name, logo, photos, video, journey programs, and articles – is the property of Hill Walkers Home Pvt. Ltd. or its content creators. Any reproduction, reuse, or delivery is strictly prohibited without written permission.

9. Limitations of Liability

Hill Walkers Home Pvt. Ltd. is not responsible for delays or cancellations caused by factors beyond our control, such as:

• Force majeure events (natural disasters, war, pandemics)
• Airline delays or cancellations
• Acts of government or road closures
• Strikes, protests, or political instability

While we’ll do everything possible to support and assist you, we cannot cover losses caused by external disruptions.

10. Legal Jurisdiction & Dispute Resolution

These conditions come under Nepal’s legal jurisdiction, where our company is registered. Any dispute arising under these terms and conditions will be resolved through first arbitration. If unresolved, the matter will be decided by Nepali laws through mediation in Kathmandu, Nepal.

11. Policy Updates

We can sometimes modify these terms and conditions to reflect service updates or regulatory changes. When this happens, we will publish the latest version on our website. The modified words immediately become effective on publication and apply to all future bookings.
